A paid discovery week. We sit with the people who actually do the work — not a manager describing it — and map the real process, including the parts that are currently going wrong. At the end you get: a process diagram, a feature list split by necessity, and a fixed quote for the essential part.
The discovery fee is credited against the contract if you proceed. If you do not, the document is still yours and you can take it elsewhere for quotes.
Build the essential part, run it for real, then extend. Most internal software fails because every imagined feature is built at once and half of them turn out to be unused. We put the core into real use within weeks, watch what real users do, and decide the next part from that.
Accounts and role-based permissions. An audit log — who changed what, when, and what the previous value was. Excel export, because however good the software is, accounting still needs a spreadsheet. Reports by date range. Daily automatic backups, tested for restoration rather than merely existing.
If your process is still changing every month, a spreadsheet is still the right tool. Turning an unsettled process into software is the most expensive way to freeze it in the wrong shape. We will tell you this if we think it is true — losing a contract is better than delivering a system nobody uses.
